The goal is to give you enough time to correct mistakes, while ensuring orders are not delayed or disrupted once production starts.
Everything below is designed to be simple, direct, and easy to follow, so you always know what to expect when requesting a change or cancellation.
• Our 4-Hour Flexibility Window (Important)
Customers have a strict
4-hour window after placing an order to request any type of modification or cancellation.
This is the only timeframe in which changes are possible because orders begin moving through a series of automated and manual production steps immediately after this period.
During these first 4 hours, the order is held briefly to allow customers to review and correct information if needed.
After 4 hours, the system automatically releases the order into production, where it becomes locked and cannot be altered in any way.
What You Can Change Within 4 Hours:
- Change of size (e.g., M → L)
- Change of color or style
- Correction of custom text or personalization
- Replacing uploaded images or design files
- Changing product type or quantity
- Canceling the entire order
- Updating the shipping address
Why the 4-Hour Window Is Strict:
Production preparation begins right after the holding period. This includes:
- Reviewing design files for accuracy and compatibility
- Preparing printing settings or engraving instructions
- Allocating specific materials, sizes, and inventory
- Scheduling your order in the production queue
Once these processes begin, canceling or modifying the order would disrupt the system, cause delays, or waste allocated materials.
For this reason, the 4-hour policy is firm and applies to all customers equally.
• Requesting a Change or Cancellation (Within 4 Hours)
If you need a modification or cancellation, it is essential to act quickly.
The fastest and most reliable communication method is email, as it allows our team to identify and prioritize urgent requests.
How to Request a Change Properly:

Use this exact subject line format for speed:
“URGENT: Order [Your Order Number] Change/Cancellation”
In your message, include the following:
- Your full name
- Email used at checkout
- Order number
- Description of the change you need (be as clear and specific as possible)
Examples of Clear Requests:
- “Please change the shirt size from L to XL.”
- “Please cancel my entire order.”
- “Please update the shipping address to: [new address].”
- “I uploaded the wrong image—please replace it with the attached file.”
Alternative Contact Method:
You may also use the Contact Us page on our website, but email remains the quickest way for urgent requests.
Requests submitted outside of the 4-hour window will be declined because the order will have already entered production.
• No Changes Allowed After 4 Hours
Once the flexibility period ends, the order becomes final.
At this stage, COWBOYBEST cannot accept requests involving:
- Size changes
- Color or design adjustments
- Custom text corrections
- Replacement of uploaded files
- Order cancellation
- Address changes
• Customer Responsibility for Address Accuracy
The customer is fully responsible for entering complete and correct address details at checkout.
This includes verifying the following fields:
- Street number and street name
- Apartment, suite, or unit number
- City, state, and ZIP code
- Proper spelling of all information
- Ensuring the address is recognized by USPS, UPS, FedEx, DHL, etc.
Even small errors can cause delivery delays or failures.
• Consequences of Incorrect Address Information
If the courier cannot deliver the package due to an incorrect or incomplete address, the customer will be responsible for any re-shipment costs.
Examples include:
- “Insufficient address”
- “Address unknown”
- “Unable to deliver – no unit number provided”
- “Recipient moved”
If the order is returned to us, we will contact you to arrange a new shipment. Shipping fees will apply.
If the Package Is Delivered to the Wrong Address Entered by the Customer:
If tracking shows that the package was delivered to the address provided at checkout, COWBOYBEST is not responsible for replacement or refund.
We cannot retrieve or redirect the package once delivered.
